The type of personal information we collect

Personal data is information about a living person, which means we can determine who they are, such as name, address, telephone number, date of birth, bank details, etc. This can include written letters, emails, photographs, audio recordings, and video recordings.

Some data is called ‘special category data which is more sensitive, and we have to look after it more carefully. This includes ethnic origin, religious beliefs, sexual orientation, trade union membership, and health data.

How we get the personal information and why we have it

Most of the personal data we process is to enable us to recruit safely and to be able to keep the people we support safe and well.

Our primary business is to care for people in their homes, so we must ensure staff is thoroughly vetted, and all checks are carried out before hiring.

We practice ‘safer recruitment,’ following all necessary steps. We ask staff to complete an application form that contains personal data. If we progress the applicant, we request identification, proof of address, NI number, and confirmation of any criminal history.

Referrals for care mostly come from the local authority or secondary health provider. This includes details about the individual, including their name, address, marital status, gender, DOB, and any health conditions or diagnosis.

We use the information that you have given us to:
1. Provide services and anything we must do by law.
2. Carry out our regulatory responsibilities, which we must do by law.

We may share this information with the Local Authority, relevant CCG, Commissioners, Safeguarding Board, Police, Fire Service, Ambulance Service, and other Strategic Partners.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on the following:

(b) We have a contractual obligation.
(c) We have a legal obligation.
(d) We have a vital interest.
(e) We need it to perform a public task.
(f) We have a legitimate interest.

You can withdraw your consent at any time by writing to the Registered Manager of the branch. Their name can be found in the People Guide or the CQC website.

How we store your personal information

Your information is securely stored in the branch address and on the company server. We only keep the information for as long as necessary, usually stated in the contract schedules.

Employment data is typically kept for six years.

After the prescribed time, the data is safely destroyed or erased from the server.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
